How can I apply for a GroupWise account?

 

          Your LAN Administrator will be able to determine if GroupWise is the preferred email system for your department.  If your department is under our support, your departmental administrator can submit a request to LAN Services Accounts via an email to accounts@jhmi.edu.

 

          If your LID is already associated with an existing account, such as JHEM, you can not have a GroupWise account. If you would like to have GroupWise instead of JHEM, you must submit a request to have it deleted before applying for GroupWise.

 

 

 

 

 

What if I have an existing email account and want to move the items into GroupWise?

 

Migrating from another mail system to GroupWise:

 

          If you are a migrating mail user, arrangements can be made in migrating your existing email into your new GroupWise account.  Since this a client-end issue, you LAN Administrator should be contacted so that arrangements can be made for the migration.  It is a fairly easy task but requires some system and client configuration changes that must be coordinated with your LAN or GroupWise Administrator.

Transferring within departments, can I keep my GroupWise Account?

 

          LAN Services Supports many departments under the HOPKINS Mail System.  As long as your new department uses GroupWise, you may retain your mail account.   In some instances,   your email account will need to be transferred internally.  This is a system change that will not affect your mailing address.    In these cases; your LAN Administrator will contact LAN Services at accounts@jhmi.edu to request the email account move.  

 

What happens if I experience a change in name? (i.e., marriage)

          While we can modify your GroupWise entry to reflect your new name, we can not issue a new MAIL ID reflecting this change.    All new ids or Lids are issued   from the JHED directory, see http://jhed.jhu.edu/ .  

 

          HR and/ payroll must send documentation over to the JHED directory reflecting your change.  Once your new lid has been issued, you can contact LAN Services Accounts, at accounts@jhmi.edu to expedite your change.

 

 

 

 

 

 

How long can I keep the mail items in my email account?

 

          To better managed our server space; GroupWise maintains a 181 day mail retention policy.  All mail older than 181 days is subject to deletion after this time.  This pertains to ALL mail in the account, not just the inbox.  Moving mail into the cabinet or predefine folders will not protect the items from the retention policy.  If you must keep mail older than 181 days, archiving it recommended.

 

 

 

How can I archive items in my account?

          About Archiving the Items in Your Mailbox

Use Archive to save mail or phone messages, appointments, reminder notes, or tasks to a designated database on a local drive. Archiving items saves network space and keeps your Mailbox uncluttered. It also protects items from being automatically deleted.  You can view archived items whenever you need to. You can also unarchive any archived item. When you archive an item you have sent, you will not be able to track the status of that item. The system administrator may specify that your items are archived automatically on a regular basis.

Are their ways in better managing my email account?

GroupWise Rules?

          GroupWise Rules can be used to define a set of conditions and actions to be performed when an item meets those conditions.  You can specify many options to limit which items a rule affects. For example, you can apply a rule to only accepted appointments, to items with a certain word in the Subject box, or to items with a high priority. Use Define Conditions to limit your rules further.   Actions a Rule Can Perform:  Send Mail, Forward, Delegate, Reply, Accept, Delete/Decline, Empty Item, Move to Folder, Link to Folder, Mark as Private, Mark as Read, Archive.  Rules are easily created within your account, please reference    the HELP TOPIC section of your client,   and see the GroupWise tool bar, help topic section located within your client. This topic explains the actions a rule can perform and the events that trigger a rule.   

 

 

Can I access my GroupWise account outside of HOPKINS? 

          Your GroupWise account can be easily accessed via the internet by logging on to http://groupwise.jhmi.edu.   Follow the link to the web access page. 

 

Is Anti-Virus Protection important when viewing email from outside of a Hopkins Managed PC?

 

          It very important that the pc you are using has an anti-virus software installed and is updated routinely.  If your device is managed by either HITS or JHMCIS it will be updated automatically.     For pcs, outside of HOPKINS, it is recommended that you manually update the virus definitions by running a live update on your systems software.     Automatic at updates will be installed from your local network.    If you are not sure of your systems virus protection, you should contact your LAN Administrator.   Until a systems administrator can access your pc, you are urged not to "open" email from an unknown source.  Additionally, it is much better if you "view" an email and not "open" the mail.

 

 

What happens if I receive suspicious mail from unknown senders?

 

          In an incident where the mail system has experienced a mail virus, email notifications may be sent from the system administrator.  You can also reference http://www.jhu.edu/anti-virus/ for the latest updates and alerts on this virus.

 

Reporting abuse of email should be referred to abuse@jhu.edu

 

Mail spoofing or the receipt of nondeliverable messages from recipients you have not mailed-, does not mean  that your PC is infected--only that someone's PC is infected with a virus that spoofs return email addresses of email addresses it finds on the machine.  Unfortunately, there is nothing we can do to prevent this type of viral spoofing.

How can I update my GroupWise display information?

 

          Updates to your user demographics can be emailed to LAN Services Accounts at accounts@jhmi.edu

 

 

How can I get the latest version of the GroupWise client and can it be installed on my home pc?

         

          New software updates can be found at our website,

http://groupwise.jhmi.edu  see software, click on the GroupWise client download page.   Depending on your rights to your desktop at work, you may need to contact your LAN Administrator for assistance. 

 

          When installing the client on your home pc, you will need the IP address of your GroupWise account.   The address line is displayed in your GroupWise client startup window.  If you can not find this address, contact your LAN Administrator for assistance.  

 

          The latest version of GroupWise 6.5 is enhanced with new features.  Please reference http://www.novell.com/products/groupwise/ for demo on the latest information on the new 6.5 features.

 

 

  How should I report a problem with GroupWise?

 

          GroupWise incidents should be reported to the helpdesk at one of the following:

Support Center -

JHMCIS Help Desk -

East Baltimore Help Desk on extension 955-4357 (5-HELP).

 

 

How do I trouble shoot problems with my email alias or problems with not receiving outside mail?

 

          At the time of creation, all new GroupWise accounts are given a unique mail id which is added to the Email relay, i.e.   userid@jhmi.edu  or userid@jhu.edu.   

If you experience any problems with your alias addressing, it is recommended you verify that your alias has been set up correctly. 

You can do this by logging into the JHED directory,   see http://jhed.jhmi.edu. 

         

          Once you have logged in, see MY APPS, alias tool, and follow the prompt to the alias page.   All mail routing configuration changes can be easily modified at this page.   If you are not familiar with configuration changes, please contact your LAN or GroupWise Administrator.     Email inquires can be sent to LAN Services Accounts at accounts@jhmi.edu.
